TITLE: Administrative Assistant
PROGRAM/OFFICE: AgirPF Project
REPORTS TO: Operation Finances Manager

In 20 countries around the world, we train health care professionals and partner with governments and communities to make high-quality family planning and sexual and reproductive health services available—today and for generations to come.
The Administrative Assistant works under the direction of the Operation & Finance Manager to help implement the project activities and to support other technical staff.
RESPONSIBILITIES:
  • Assist project staff in logistical arrangements for implementing country program activities as required
  • Responsible for photocopying of all official documents
  • Assist in delivery of all official mails and collection of mails from project post office box
  • In collaboration with the Bookkeeper , manage the project office supplies to ensure consistent and adequate supply of basic items
  • In collaboration with relevant staff, assist in managing the storage of supplies therein
  • In collaboration with the Regional Contract Officer , controlthe generator and vehicle maintenance log database
  • Carry out reception duties
  • Assist in the procurement process – dispatching and receiving request for bid proposals
  • Maintain a record of all vendors and partners contact details
  • Be the Petty cash custodian
  • Provide support during trainings, workshops and meetings in collaboration with the Bookkeeper
  • Provide logistical and administrative support for the preparations of workshops, conferences, visitors. This includes coordinating mailing of invitations, materials, advising participants and staff of deadlines, arranging lodging, airport roundtrip ground transportation, organizing meetings and agendas, coordinating flight arrangements for participants (as needed) and processing expense claims
  • Under the direction of the Bookkeeper handle reimbursements and check requests and other related duties as assigned.
  • Under the direction of the Bookkeeper make deposit to the bank;
  • Perform any other duties as assigned
EDUCATION, EXPERIENCE & CERTIFICATIONS:
  • BTS degree
  • 3 years experience working in an office setting; experience working for an international organization would be an added advantage
KNOWLEDGE, SKILLS AND ABILITIES:
  • Good communication skills in English, French and local language
  • Excellent computer skills, including word processing, presentation applications, Spreadsheets, Ability to prepare and maintain databases preferred
  • Excellent organization skills
  • Ability to juggle tasks and priorities and willingness to be flexible.
