Administrative Intern

The Women’s Initiatives for Gender Justice is an international women’s human rights organisation that advocates for accountability for gender-based crimes through the International Criminal Court (ICC) and domestic mechanisms, including the participation of women in peace-building and formal peace negotiation processes. The organisation works with women most affected by each of the armed conflict situations under investigation by the ICC.
The organisation has extensive country-based programmes in collaboration with local and regional partners in Uganda, the Democratic Republic of Congo, Sudan, and Libya, along with ICC-related legal monitoring and advocacy programmes on the Central African Republic, Kenya, the Ivory Coast and Mali.
The organization is seeking candidates with a background in political science, international relations, and other relevant fields for a 6-month internship for appointment June 16, 2015at the Women’s Initiatives for Gender Justice office in The Hague, the Netherlands. The administrative intern will be able to handle a fast-paced, intense environment and will possess multi-tasking and significant organisational skills. Excellence in written and spoken English is essential. Knowledge of Dutch and/or French would be considered an asset, but is not required.
The position will provide an excellent opportunity to gain exposure to the work of the Women’s Initiatives for Gender Justice and experience working on dynamic and meaningful international issues. The administrative intern will be a core-function of the organisation through providing overall administrative support to the office, and will gain experience working with a dynamic, international team.
Primary responsibilities of the administrative intern include:
· General office support duties, such as to serve as the first point of contact in the office; handle administrative phone duties; office email intake and correspondence; collect, sort and distribute incoming mail, and post outgoing mail; contact and liaise with our service providers to problem solve when necessary; order office supplies; and perform a variety of clerical duties such as photocopying, compiling records, filing, data entry and distributing mail;
· Coordinating staff-related visa and residence permit applications and communicating with relevant government agencies including the Tax Office (Belastingdienst) and the Immigration and Naturalisation Service (IND);
· Database management, including updating contact information for emails and social media, maintaining the outreach list for eLetters and assisting in communication with our Global Outreach List, including through sending out our two regular eLetters Women’s Voices and Legal Eye on the ICC;
· Liaising with external website management company and uploading selected content to the homepage;
· Assisting in the preparation of monthly finances, including by collecting invoices, credit card and bank statements and assisting with the preparation of the monthly payments folder; and liaising with the with the office’s financial management company
· Administrative support for events and meetings, including assisting with staff and partners’ travel arrangements and logistics; booking flights, hotels and taxis; printing relevant documents; preparing for meetings; welcoming guests to the office; and
· Coordinating the re-printing of publications and other materials, and liaising with external service providers.
The administrative internship is full-time, and unpaid for a period of the initial 4weeks. Following the initial 4-week period, a stipend to reimburse basic expenses will be offered.

Please include any other information you think might be of relevance, e.g international experience, proficiency in languages other than English, experience working for an NGO, etc.
  4. Contact information for two references, including one employer; those selected for interviews will also be asked to provide a writing sample.
