Title: Innovation Office Manager
Duty: Geneva based, possible regional travel
Duration: 6 months (with extension based on performance)
About UNHCR Innovation:
UNHCR Innovation is a multi-year, inter-departmental initiative looking for more efficient, effective and creative solutions to challenges that refugees face across UNHCR operations worldwide. The ultimate goal of our action is refugee protection, self-reliance, empowerment, dignity and education. We do this by rethinking the way UNHCR works, the way it involves refugees in the design of the programs, and the way it looks at good practices in the humanitarian and private sector.
About the job:
The office is transitioning from a start-up to a mezzanine level organisation within an organisation. We’re moving to a geographically scattered structure, with staff moving out of HQ and into three or four other offices globally. In order to remain as light, agile, and effective as possible, we’re looking for a self-driven, tenacious, and energetic person to join our team. You will be eager to gain experience, you will be smart, and most of all you will be trustworthy. You’re also going to be able to handle the pressures and stresses of working in a fast-moving, geographically spread team.
Responsibilities
· Coordinate the on-boarding process for new hires (paperwork, desk and equipment setup, orientation);
· Work with the management team to coordinate recruiting activities and interviews;
· Handle the scheduling of appointments and visitors to the office;
· Manage the team calendar;
· Oversee general office infrastructure;
· Coordinate travel for the leadership team;
· Oversee and plan and execute team events team retreats, and meetings;
· Work with admin, finance, and programme colleagues to process monthly financial reports;
· Handle expense reimbursements, travel claims, time sheets, and absence and leave records;
· Other tasks as required.
Qualifications
· Bachelor’s Degree or an equivalent combination of education and experience
· Administrative experience in a fast paced environment
· Detail-oriented
· Strong communication, problem solving, and organisational skills
· Ability to work independently and meet deadlines
· Flexible, and able to balance changing priorities and demands
· Advanced user of Microsoft Office applications
· Able to create and maintain positive working relationships, and work collaboratively with the team
· Requires successful completion of a background check
