Logistics Coordinator

 To manage the stores, transport and general logistics functions of the COSV office in Juba, in constant connection with the plans and needs of the field office in Ayod.
 To undertake procurement initiatives in agreement with the Country Administrator and the Country Representative and based on project activity planning.
 To control the Juba store according to COSV policy, running monthly stock checks and providing monthly reports.
 To ensure that supplies are forwarded to project sites in a timely and cost-effective manner; and that sites are kept informed about pending deliveries and any delays to consignments.
 To ensure that goods are received, unloaded, stored properly, and checked against procurement documents.
 To ensure that all consignments leaving the country have appropriate export documents
 To obtain competitive quotes relating to transport (air, road, river) and to liaise with transport suppliers.
 To supervise the COSV driver and manage vehicles and movements, ensuring that vehicles are properly maintained.
 To control fuel stock and the procurement of fuel, to prepare consumption data and to submit monthly fleet reports on time.
 To ensure all documents and requisition forms are authorized according to COSV policy.
a) Tasks.
Vehicle Management
 To maintain accurate control of vehicles: monitoring vehicle logbooks and provide monthly vehicle report to the Logistics Manager.
 To control the use of fuel vouchers, to provide the administrative check and all supporting information before presenting them for final approval and subsequent payment.
 To supervise the COSV driver and to ensure correct vehicle usage procedures as per ‘driver’s rules and regulations’ and COSV policy.
 To plan and organise the daily office transport requirements.
 To ensure that vehicle service intervals are closely monitored and that planned and unplanned maintenance is carried out as per manufacturer’s recommendations.
Stock Control
 To liaise with suppliers to receive newly-procured goods into transit stores, and provide signed goods received notes for the procurement files.
 To manage distribution of stock to project sites: liaise with project sites, prepare stock transfer documents; to ensure that the stock is in good working conditions; to organise transfers.
 To maintain stock movement reports (SMR) of the COSV stores; to hold store keys in a secure manner; to carry out monthly stock-taking of all stock items, and to present the monthly stock report to the Country Administrator.
 To ensure the cleanliness, hygiene, tidiness and safety of the storage system and space, in keeping with the required standards.
 To prepare standard documentation for all items received and issued, such as stock movement reports, warehouse requisitions, bin cards, etc.
Freight
 To liaise with project staff to ensure the timely dispatch of purchased items by appropriate means.
 To request quotations from transport suppliers and to prepare all the paperwork required.
 Manage the picking/packing of cargo, preparing packing lists, and completing accurate waybills.
 To prepare documents for all payments related to transport, and ensure that this is authorized according to COSV policy.
 To prepare standard COSV documentation for all items received and dispatched, such as stock movement reports, packing lists, waybills and GRNs
Communication
 To establish and maintain effective working relationships with all project site staff (e-mail, telephone, radio communication, etc.).
 To ensure effective working relationships with counterparts, and technical and service departments.
Various
 To brief newly-hired personnel on COSV procedures related to transport and warehousing.
 To be flexible and available for missions to the field for special support or supervision on given logistics issues.
 Any other duty as may be required.
Requirements:
  • South Sudanese national.
  • Degree in Procurement & Supplies
  • At least three years working experience.
  • IT Literate
  • Fluent in spoken and written English
  • Knowledge of Arabic.
  • Valid driving License.
