Junior Finance Officer in the ACT Secretariat (Geneva) – 12 month assignment
The Junior Finance Officer supports the Head of Finance and Administration in the day to day running of the ACT Secretariat’s finance unit. Specific duties of the position include:
Payments
• Preparation of supplier and service provider invoices for payment and relevant approval
• Process and payment of reimbursements
• Preparation of payments and relevant approval of Appeals
• Preparation of payment transfers in the UBS payment system for the review and approval of authorized signatories
• Notification of payments to beneficiaries, mainly requesting members
• Ad-hoc payment upon request
• Transfer of funds between bank accounts as necessary and upon request.
Donor Income
• Preparation of receipts and acknowledgment letters to donor
• Respond to various queries related to receipt from donors
• Maintain and update data base for funds received
• Ad-hoc income reports upon request
Travel advances and expense claims
• Process staffs’ expense claims
• Follow-up on outstanding expense reports from staff
• Prepare reimbursement or payment of advances
Financial transactions and data capturing
• Enter all transactions related to payments
• Enter all transactions related to income
• Process all adjustment journals
• Enter all transactions related to the opening of appeals
Financial administration
• Maintenance and filing of finance documents
• Invoicing of international coordination fees
• Invoice for reimbursement of activities/expenses pre-financed by ACT.
• Reconciliation of payroll suspense accounts
Competencies
• Basic accounting or business degree or Swiss “Certificat Fédéral de Compétence – Comptabilité” (CFC)
• 1-2 year experience in an international organization / or an international company with a multicultural environment
• Ability to work proficient (written and oral) in French and English
• Ability and willingness to undertake a variety of financial and administrative tasks.
• Demonstrated capacity within the field of computer literacy
• Ability to work independently, but also work as part of a teamSalary expectations: basic salary CHF 7,500/monthly plus benefits
Post based in Geneva, Switzerland.
