Key Performance Areas
Under the supervision of the Senior Administration Officer, his/her delegate, the Administrative Assistant will be responsible for providing support and assistance in the smooth and effective running of Administrative Services Unit and provide support to staff in the NEPAD Agency offices in Midrand. In particular s/he will carry out the following tasks;
1. Support the Senior Administration Officer in the day to day activities and special projects related to the management and maintenance of the NEPAD Agency’s offices.
2. Liaise with external service providers to ensure smooth running of administrative services, e.g. cleaning, photocopying and building maintenance services e.t.c.
3. Support monitoring of budget expenditures in the unit through the maintenance of a proper record of approved budget and expenditure in the unit.
4. Assist the unit in generation and dissemination of high quality information about administrative services work plan and activities.
5. Support the maintenance of office equipment in good working order and assist staff with problems or training.
6. Ensure all kitchens, common areas, offices, meeting and board rooms are well maintained to a high standard.
7. Ensure a sufficient level of office refreshments are available at all times.
8. Manage the logistics and coordinating arrangements for meetings, training, and other Administrative Services Unit activities.
9. Draft and assist in finalisation of minutes of meetings and prepare reports for the unit.
10. Perform other related duties as may be assigned.
Education and Experience:
i. Minimum of a High School Certificate and College Diploma in General Administration, Office Administration, Secretarial Studies, Management, and / or Social Sciences.
ii. Five (5) years of progressive responsibility in providing office administration support, including at least two (2) years in the field of
administration.
