General Responsibilities
The External Relations Coordinator reports to the IMB Deputy Director and is a key member of the PIH team, serving as a lead external representative for IMB and liaising the Boston-based PIH communications and development teams. The External Relations Coordinator supervises and works in close collaboration the External Relations Associate. The position’s primary responsibilities include providing logistics coordination for all visitors to IMB; serving as the in-country host for donors and other visitors; supporting IMB external communications; and event planning and coordination.
Specific Responsibilities
I. Visitor Management
  • Screen requests to ensure appropriate and manageable flow of all visitors including donors, partners, non-Rwanda-based PIH staff, and local and international media.
  • Track all visitors to IMB sites and manage all visitor logistics in coordination with Ministry of Health, IMB staff, and hospital management. Serve as a point of contact in the field for visitors, and accompany specific visitors for the duration of their stay.
  • Develop itineraries tailored to visitor interest, give tours of IMB/MOH sites, and schedule necessary meetings with IMB staff.
II. Development
  • Prepare proposals and donor reports in coordination with the Boston development team.
  • Assist with grant-writing and concept-note preparation.
  • Support donor stewardship and ensure strong engagement of the IMB leadership team in development activities.
III. Communications
  • In close collaboration with the Boston-based communications team, work with IMB colleagues to produce, collect and curate high-quality content and photos for communications materials.
  • Build relationships with local media and ensure that IMB is regularly featured in local press.
  • Manage social media, including the IMB Twitter feed and submission of photos and updates for the PIH Facebook page.
IV. Event Planning
  • Serve as the primary planner and manager for large-scale events, such as facility inaugurations and global health training courses.
  • Work with Ministry of Health and IMB teams to coordinate multi-faceted events including, but not limited to, the organization of event agendas, guest invitations, and reception activities.
Qualifications
  • Bachelor’s Degree required; background/interest in social science, area studies, or public health preferred.
  • Demonstrated experience (2 years minimum) providing administrative or coordinative and logistics support.
  • Excellent interpersonal skills required. Ability to interact professionally with culturally diverse staff and spend significant amounts of time with a wide variety of visitors, including organizational leadership and high-level supporters.
  • Proven writing skills. Ability to conceptualize and produce human interest stories, press releases, and donor-reports.
  • Ability to work independently and take initiative; must be a quick learner, able to multi-task, and easily adapt to changing circumstances.
  • Willingness to work irregular and long hours and to travel frequently within Rwanda
  • Interest in social justice and health care issues.
