Purpose of the Position
The Public Partnerships Manager in the PPD Director's office is responsible for the management of PPD Front Office. The Public Partnerships Manager will advise the PPD Director and senior management on the PPD's focus and strategic priorities in consultation with the PPD Senior Advisors. The Public Partnerships Manager will also be responsible for coordinating PPD Director's substantive input on cross-cutting policies, guidance and reports in collaboration with the Strategic Analysis and Field Support Unit. The Public Partnerships Manager will supervise one Senior Administrative Assistant and will support the Director in the management of the Division's recruitment/human resources related issues, budget, and other administrative issues as they arise. The Public Partnerships Manager will be in touch with PPD offices in Geneva, Brussels and Tokyo to facilitate communication with the PPD Director and Directors of those offices. In addition, when needed, the Public Partnerships Manager will provide guidance on the operational aspect of the management of the Geneva, Brussels and Tokyo offices.
Key Expected Results
Management of Director's Office:
- Coordinate the work of the Director's office in close collaboration with the Executive Assistant;
- Review incoming requests for decisions and action; prioritize and prepare for review and decision by the Director including quality assure with a view of having complete and confirmed information;
- Liaise with other Divisions and Office of the Executive Director and ensure efficient communication and coordination within PPD;
- Support management meetings and ensure all follow-up actions are completed;
- Represent PPD at inter-divisional meetings as required;
Advise PPD Director's office on strategic focus and priorities: - In coordination with Senior Advisors, advise PPD Director and Deputy Director on strategic focus and priorities for PPD;
- Provide quality control (content and format) of Briefing Notes, comments, reports under authority of PPD Director's office;
- Draft correspondence for and on behalf of PPD Director on substantive and sensitive matters ensuring routing of assignments to sections, and ensure completion by deadlines;
- Coordinate and follow up on the preparation of talking points, background material and presentations in support of the Director's engagement with internal and external partners.
Support cross-cutting functions - In coordination with the Strategic Analysis and Field Support Unit, provide substantive input on cross-cutting policies, guidance and reports;
- Provide assistance in the development of PPD Office Management Plan and annual workplan.
Oversee Division's Staffing, Budget and Administrative matters - In close collaboration with the Senior Administrative Assistant, support the Director and senior management on PPD staffing and recruitment;
- In collaboration with the Senior Administrative Assistant, support the Director and senior management in overseeing budgetary matters;
- Supervise the Senior Administrative Assistant and oversee the Division's day to day administrative issues.
Qualifications of Successful Candidate
- Advanced university degree in social and economic sciences or international relations.*
- 8 years of progressively responsible relevant work experience at national and international levels preferably in partnerships or management in an international organization.
- Fluency in English is required. Knowledge of a second UN language (i.e. Arabic, Chinese, French, Russian, Spanish) and/or the local language of the duty station is considered an asset.
*A first level university degree with a relevant combination of academic qualifications and experience may be accepted in lieu of the advanced university degree.
