The African Union, established as a unique Pan African continental body, is charged with spearheading Africa's rapid integration and sustainable development by promoting unity, solidarity, cohesion and cooperation among the peoples of Africa and African States as well as developing a New Partnership Worldwide.
The African Union Brussels office was established to promote the cooperation and growing strategic partnership between the African union and European Union.
In seeking to achieve this objective, the African Union Brussels office intends to strengthen its capacity to deliver by, among others, the implementation of its organizational structure and the filling of all vacant posts.
Job Title
  1. Bilingual Secretary (GSA4)
  2. Secretary/Receptionist (GSA4)
Number of Vacant Positions: Two (2)
Duty Stations: Brussels, Kingdom of Belgium.
Supervisor: Head of Mission
1. JOB PURPOSE
Perform secretarial and reception duties for AU Permanent Mission
2. MAJOR DUTIES AND RESPONSIBILITIES
  1. Type and proof read documents, reports, correspondences, messages, queries, etc as may be required by assigned Supervisors.
  2. Receive and draft responses to routine correspondences for the signature of the Supervisors.
  3. Photocopy and distribute all documentation related to African Group Bureau and Plenary meetings and arrange conference room for all such meetings.
  4. Receive guests/ visitors/ staff and provide them with basic information on relevant issues and procedures.
  5. Maintain a proper filing and recording system for all incoming and outgoing correspondence.
  6. Receive and screen telephone calls/E-mail messages and direct them where required and ensure follow up with Supervisors and Partners.
  7. Keep an up-to-date diary of appointments for Supervisors and other Senior Staff members at the duty station.
  8. Provide day-to-day routine administrative services to various work units of the mission station.
  9. Perform reception and protocol services.
  10. Perform any other relevant duty/ responsibility as required
3. QUALIFICATIONS AND EXPERIENCE REQUIRED
  1. A minimum of five (5) 0rdinary level credits school certificate or equivalent (including a credit in one of the AU working languages) plus an advanced certificate in Secretarial studies. A higher qualification will be an added advantage.
  2. Excellent working knowledge of French and English.
  3. Excellent Secretarial and Office management skills.
  4. A minimum of 5 Years of relevant secretarial experience in a Government, public sector or international organization.
4. OTHER RELEVANT SKILLS
  1. Excellent interpersonal and communication skills
  2. Experience in working in an international organization
  3. Ability to work under pressure and in a multicultural environment
  4. Excellent Computer literacy
  5. Good planning and organizational skills
5. LANGUAGE REQUIREMENT
Proficiency in English and French is a requirement; Knowledge of one or more other AU working languages would be an added value.
6. TENURE OF APPOINTMENT
The appointment will be for twelve months and is renewable, subject to satisfactory performance and availability of funds.

8. REMUNERATION
The salary attached to the position is an annual lump-sum of US$ 15,309.00 inclusive of all allowances
