Administration Officer, Libya Projects

Reports to: Country Director, Libya        
Contract duration:  6 Months (April – September 2015 with possibility for extension)

Job purpose:
Since the end of 2011 – just months after the fall of the Gaddafi regime – BBC Media Action has been working in Libya to develop programming that will improve Libyans' access to information, and encourage debate and participation in the country's transition.
The current extensive fighting across the country has meant that BBC Media Action has relocated its operations to Tunis for an interim period. Based in Tunis, this role will support the Projects Coordinator to provide coordination of trainees, training activities and continuity between operations in Tunis, Tripoli and London. 
Main Duties
  • Provide a comprehensive range of administrative support to the BBC Media Action team and visiting BBC staff and consultants.
  • Support the Projects Coordinator and Office Manager in smooth running of project and office operations.
  • Establish, develop and maintain suitable spreadsheets, databases, and management information and evaluation systems as requested.
  • Ensure that properties used by projects are well maintained by coordinating cleaners for apartments where necessary.
  • Assist in administrative procurement of supplies and services from quality vendors and service providers, in fairness and transparency.
  • Handle internal and external enquiries in a professional manner, dealing with these to conclusion where possible or referring them to the team as appropriate.
  • Undertake ad hoc administrative projects as and when required.
Essential Skills and Experience
  • At least two years’ experience of successful administration in an office environment, ideally in a development or media sector
  • Excellent attention to detail
  • Proficiency in Microsoft office (including Word, Excel and PowerPoint)
  • Strong communication skills including the ability to write well in English
  • English and Arabic fluency (French desirable)
  • Excellent interpersonal skills
