Context:
Under the supervision of the Senior Programme Assistant of the IOM Development Fund (IDF) within the Department of Migration Management, the Programme Assistant is responsible and accountable for supporting the work of the IOM Development Fund with a special emphasis on project tracking, supporting the review of applications, reports and other requests, PR and communication with IOM Missions and donors, preparation of programme reports, and coordination with concerned units in the field, at Headquarters (HQs) and Manila Administrative Centre.
Core Functions / Responsibilities:
- Ensure effective tracking of IOM Development Fund projects, including all types of communication, preparation of project documents, budget and related correspondence, to ensure timely and coordinated response from all concerned parties.
- Carry out the initial review/analysis of a selection of the Fund’s project proposals (narrative and budget), interim and final narrative reports, revisions (budget/project/no-cost extensions), project outputs and evaluations.
- Coordinate with all stakeholders involved in the different workflows of the project cycle (field/HQ/ Manila Administrative Centre).
- Contribute to the creation of special programme reports for the Standing Committee on Programmes and Finance (SCPF), other briefings, presentations and reports.
- Participate and contribute to the enhancement of the Project Information and Management Application and its roll out.
- Contribute to the preparation of IOM Development Fund descriptive/promotional
- materials/statistical reports as well as for the maintenance of the website and fundraising efforts.
- Participate in meetings related to the IOM Development Fund.
- Use of PRIMA for core functions related to No. 1, 2, 3 and 6.
- Perform such other duties as may be assigned.
Required Qualifications and Experience:
Education
• University degree in Political or Social Science, Business Administration, International Relations or a related field from an accredited academic institution with three years of relevant experience; or
• Completed High school / Secondary school education with five years of relevant experience.
Experience
• Demonstrated computer literacy, especially with the Microsoft Office software suite;
• Excellent drafting in English is required;
• Knowledge of IOM's administrative procedures and work experience in administrative functions at HQ and in the field an advantage;
• Working knowledge of PRIMA;
• Working knowledge of the IOM Project Handbook.
Languages
Fluency in English and working knowledge of written and spoken Spanish and French is required.
