The Finance and Administrative Assistant (FAA) is responsible for the day to day administrative and financial activities of the field sites and make sure that payments and supporting documents to the expenses are in compliance with donor requirement and IMC’s Financial policy and procedures.
The tasks include and are not limited to;
Financial Activities
· Preparing the payment vouchers and ensure that supporting documents are attached and in accordance with donor requirement s and IMC’s procurement policy and Finance policy and procedures
· Preparing the request for replenishment of the petty cash funds to ensure smooth operations in the field sites
· Assist other staff in clearing their operational advances taken from petty cash fund
· Follow up with the staff the outstanding operational advances and ensure that they clear it within two days
· Maintain an updated bank/cash transaction journal on daily basis
· Ensure all invoices attached to the vouchers are stamp “PAID”
· Perform cash count everyday by 3:30PM and report the daily cash balance to SFAO
· Prepare monthly cash reconciliation and bank reconciliation report in due time
· Assist SFAO on providing documents for External Auditor whenever needed
· Entering daily transactions to Cost Point
· Work closely with SFAO in the audit, ToT from IA Split, Croatia
Administrative tasks in day to day activities in the field
1) Perform the monthly scanning of vouchers to be included in monthly scanning for submission to IA Split, Croatia
2) Perform other tasks assigned by immediate supervisor
Required Qualification
• Completed secondary education, supplemented by formal studies in accountancy, administration or secretarial techniques;
• At least three years of relevant working experience in the field of finance and accounting, preferably in an international environment;
• Good understanding of the procedures and requirements for project transactional accounting;
• Experience of donor procedures and rules applicable to funding received from large institutional donors is desirable;
• Computer literate with practical experience in Microsoft applications;
• Excellent written and oral communication skills in English and local languages
• Ability to work with people of different nationalities, religions and cultural backgrounds;
• Demonstrated gender awareness and sensitivity, and an ability to integrate a gender perspective into tasks and activities.
