VACANCY ANNOUNCEMENT: TRANSPORT SUPERVISOR
The African Union, established as a unique Pan African continental body, is charged with spearheading Africa's rapid integration and sustainable development by promoting unity, solidarity, cohesion and cooperation among the peoples of Africa and African states as well as developing a new partnership worldwide.
Its Headquarters is located at Addis Ababa, capital city of Ethiopia. In seeking to achieve this objective, the African Union intends to achieve strengthen its capacity to deliver by, amongst others, the implementation of a new organizational structure and the filling of the vacant post of Transport Supervisor in the Directorate for Administration and Human Resource Development.

Supervisor: Chief of Administrative Services Unit.
Duty Station: Ethiopia, Addis Ababa
Department: Administration and Facilities Management Division, AHRM 2.
Job Summary
Leads personnel of the Transport Section and be responsible for the development of fleet administration standards and vehicle operating policies; preparation of annual budgets and periodic reports on operating costs; purchase or lease of vehicles; fuel purchase and control over drivers' safety and training, maintenance, repair, replacement, and disposal of vehicles.
Main Duties and Responsibilities
The Transport Supervisor shall have the following responsibilities as far as transport management is concerned:
  • Ensure good governance, proper performance and discipline of all drivers in the transport section.
  • Must have a strong sense of customer service and satisfaction for both internal and external clients.
  • Responsible for further training, skills development and performance assessment of staff under his/her supervision.
  • Evaluate, training needs for vehicle dispatch clerks, controllers and drivers.
  • Direct, assign and monitor the work of Drivers.
  • Participate in the development of goals and objectives as well as policies and procedures; make recommendations for changes and improvements to existing standards, policies and procedures.
  • Participate in the implementation of approved policies and procedures; monitor work activities to ensure compliance with established policies and procedures.
  • Coordinate training programmes of staff in the Section.
  • Establish schedules and methods of providing vehicle maintenance services.
  • Establish and maintain a register of all vehicles of the Commission.
  • Ensure the proper completion and administration of records and returns by insuring that the vehicle log sheets are kept accurately for all vehicles.
  • Exercise control over the repairs of vehicles by keeping vehicle maintenance schedules and maintenance records of each vehicle to ensure that all vehicles are serviced on a regular basis and kept in good road worthy condition.
  • Take reasonable steps to safeguard vehicles, accessories and tools, against theft, irregular use, damage and fire by ensuring that vehicles are adequately kept or parked.
  • Liaise with other sections through the Chief of Administrative Services Unit and the Head of Administration & Facilities Management Division on matters related to transport and fleet management.
  • Answer questions and provide information to queries; investigate complaints and recommend corrective and prevention actions as necessary to resolve complaints.
  • Coordinate with vehicle purchasing/hiring companies in providing contract services. XVII. Any other duties as assigned by Supervisors.
Qualifications
  • Candidates must have at least a Diploma in Management or Logistics Operations or Automotive Engineering.
  • Knowledge and experience in fleet management support functions including maintenance, operations, and support services are essential.
  • Higher qualification will be an added advantage.
Professional Experience Required
  • Five years of experience working with the operation, maintenance, or administration of fleets of vehicles and three years' experience in management in a supervisory role in an international working environment.
  • In addition, he/she shall need in-depth knowledge of auto rental programmes.
Other Relevant Skills
  • Ability to work as a team leader or team member in a multicultural environment.
  • Strong interpersonal skills.
  • Computer literacy is essential and good working knowledge of computer skills in Microsoft Word, Excel, PowerPoint, etc.
  • Good oral and written communication skills.
  • Ability to work with different categories of staff under his/her responsibility.
  • Willingness to listen to drivers, office personnel, management, external clients in a positive manner.
  • Ability to communicate with vendors, service facility personnel and others to coordinate schedules and obtain or receive information or service such as vehicle service or repair or problem identification/solution.
Language Requirement
  • Proficiency in one of the African Union working languages.
  • Proficiency of two or more of the other working language(s) would be an added value.
Tenure of Appointment
The appointment will be made on a fixed term contract for a period of three (3) years, of which the first twelve months shall be considered as a probationary period. Thereafter, the contract shall be for a period of two years renewable, subject to satisfactory performance and deliverables.

Candidates from the following least represented countries are encouraged to apply: Eretria, Central African Republic, Cape Verde, Comoros, Congo (DRC), Djibouti, Equatorial Guinea, Liberia, Mauritania, Namibia, Sahrawi Arab Republic, SaoTome and Principe, Seychelles and Somalia.

Remuneration
Indicative basic salary of US$14,852.00 (GSA5 Step 1) per annum plus other related entitlements-e.g.
Post adjustment (46% of basic salary),Housing allowance ($12,009.60 per annum), education allowance (75% of tuition and other education related expenses for every eligible dependent up to a maximum of US$7,800.00 per child per annum), etc. for internationally recruited staff of the Commission.
