Associate Project Manager, HIV Programmes

Founded in 1988, the International AIDS Society (IAS) is the world's largest association of HIV professionals, with members from more than 180 countries. IAS members work on all fronts of the global response to AIDS, and include researchers, clinicians, policy and programme planners and public health and community practitioners on the frontlines of the epidemic.
The IAS organizes the world’s two most prestigious HIV conferences, each convened biennially in alternating years. The International AIDS Conference is the largest conference on any global health or development issue, and provides a unique forum for the intersection of science and advocacy. The IAS Conference on Pathogenesis, Treatment and Prevention brings together a broad cross section of HIV professionals and features the latest HIV science, with a focus on implementation – moving scientific advances into practice.
In addition, the IAS advocates for urgent action to reduce the global impact of HIV, including increased investment in HIV cure research; optimizing treatment and care for infants, children and adolescents with HIV in resource-limited settings; preventing and treating HIV-related co-infections; and expanding access to prevention, treatment and care for key populations at higher risk for HIV – such as men who have sex with men, people who inject drugs, sex workers and transgender individuals – including protecting their human rights by combatting punitive laws and discriminatory policies.

Details of Employment:
The Associate Project Manager, HIV Programmes position will be based in Geneva, Switzerland. He/she will report to the Director, HIV Programmes & Advocacy and will take direction from the Programme Specialist, Differentiated models of ART delivery. The position is full-time and fixed-term (12 months) to start as soon as possible.
Purpose of the Position:
The Associate Project Manager will be primarily be responsible for the coordination of the IAS Differentiated Models of ART delivery initiative and the coordination and coherent functioning of the committees and groups related to the initiative.
The Associate Project Manager will also responsible for the administrative coordination and organization with all necessary logistic support for teleconferences and in-person meetings of the committees and groups, in-country consultations related to the project, and any other related meetings or events. The role will also provide backup support to other HIV programme activities as needed.
Main Responsibilities:
  • Organize logistics for meetings of the Technical Working Group and Steering Committee of the Differentiated Models of ART delivery project: manage relations with the venue and external suppliers, provide travel support;
  • Support the agenda development for the meetings of the Technical Working Group and Steering Committee: send invitations, prepare background documents, draft the programme;
  • Support the Programme Specialist in the planning of activities related to the initiative (launch of the decision framework, conference workshops, etc.);
  • Support the Programme Specialist in drafting and revising progress reports and documentation to donors;
  • Support the Programme Specialist in coordinating the process to select a sub-contractor for the grant and subsequently communication with the sub-contractor;
  • Provide updates for the project webpages and the LinkedIn group;
  • Track and process expenses;
  • Manage the project mailbox;
  • Provide logistical support for meetings and travel where required.
Perform any additional tasks requested by the Director, HIV Programmes & Advocacy and the Programme Specialist.
Academic Qualifications:
  • A degree in public health, science, international relations, development or other relevant discipline;
  • A graduate degree in public health, science, international relations, development or other relevant discipline is preferred but not required.
Work Experience:
  • A least 2 years experience in a similar position; preferably working in HIV/AIDS, global health or development;
  • Experience managing conferences logistics, seminars, workshops, meetings, committees or events a plus;
  • Experience working abroad or working for international organizations a plus.
Skills/Competencies:
  • Ability to work independently at a fast pace and handle many tasks simultaneously;
  • Highly organized, systematic and with strong analytical skills;
  • Strong written and oral communication skills;
  • Cross-cultural interpersonal skills;
  • Computer literate with good knowledge of Microsoft Office software;
  • Sense of diplomacy;
  • Ability to work efficiently under pressure, and occasionally work overtime;
  • An interest or background in global health;
  • Ability to travel internationally (2-4 business trips per year).
Languages:
  • Advanced level of spoken and written English, knowledge of other languages is an asset.
