Liaison and Administrative Assistant (CFCVs/2016/04) - Egypt

Context:
Under the overall supervision of the MENA Regional Director (RD) and the direct supervision of the Head of Office (HoO), the incumbent will support the HoO and be responsible for the following tasks:
Core Functions / Responsibilities:
· Support HoO in daily internal operations for the implementation of different projects and programmes
· Facilitate bi-weekly meetings for Egypt Country Office Project Managers and relevant administrative and finance staff; maintain minutes and records of meetings, and ensure follow-up on action points as requested
· Assist in the preparation of meetings and events
· Collect inputs from Project Managers and help with the preparation of the various reports such as “IOM MENA-Egypt Programme” brief
· Conduct research, compile data, and assist in the preparation of papers and presentations
· Reply to queries and meeting/interview requests, and coordinate interview requests with the Communications and Public Information Officer when necessary
· Review language and formatting of correspondences, exchanges, and reports
· Read and analyse incoming memos, and correspondences to determine their significance and plan their dissemination
· Provide daily admin and clerical support to the HoO including travel arrangements, scheduling meetings, maintaining a filing system…etc.
· Support and assist in preparing and disseminating IOM Egypt briefs and coordinate translation into Arabic
· Support in translating correspondence and articles from Arabic to English and vice versa
· Manage the mission’s general mailbox and disseminate emails as appropriate
· Perform such other duties as may be assigned
Required Qualifications and Experience
Education
· Secondary School Education with 4 years of relevant work experience
· Bachelor degree in Political Science, Social Sciences, Business Administration, International Relations, Development Studies, Migration and Refugee studies or any other related fields with 2 years of relevant work experience
Experience
· Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint, Good knowledge of information technology and proficiency in Microsoft Office applications especially Excel, Word, PowerPoint, Publisher, and SharePoint.
· Previous work experience in international organizations and companies would be an advantage.
Languages
Fluency in English and Arabic is required. French is an advantage.
