Norwegian Refugee Council (NRC) has been implementing projects for Internally Displaced Persons and Refugees in Northern Uganda, West Nile and South Western respectively, since 1997. Having smoothly phased-out by end of August 2014 in the North, NRC reopened from September 2014, to compliment efforts of the Government of Uganda and UNHCR in supporting the South Sudanese Refugees currently settled in the Districts of Adjumani and Arua in West Nile. With funding from SIDA, NMFA, ECHO and UNHCR, NRC will implement integrated projects in Adjumani/Arua/Yumbe Refugee settlements. NRC now seeks to recruit HR/Admin Assistant for its Kampala Office.
The HR/Administration Assistant is responsible for NRC’s reception area and for giving administrative support at the Kampala office.
NRC may be required to verify the identity of its partners/employees and to check that its partners/employees have not been involved in illegal activities. NRC reserves the right to use electronic screening tools for this purpose

Job description
- Welcome visitors to the NRC office, and direct them accordingly
- Receive incoming calls and make outgoing calls according to needs
- Ensure order and cleanliness of the reception area
- File administrative documents according to procedures
- Ensure that utility bills (e.g. electricity, water, phone) are paid on time
- Arrange for staff and visitors visas, flight bookings, transport and accommodations
- Make appointments and keep itineraries for the AM/Country Representative and NRC visitors;
- Assist the Administration/ Human resource Coordinator during recruitment.
- Oversee the maintenance and cleanliness in all office interiors
- Maintain the diary of events and visitors
- Assist in making travel arrangements, booking of flights and hotel accommodation for visitors;
- Assist in maintaining inventory of office equipment, furniture and fittings
Qualifications
- Experience from working in administration
- Previous experience from working in a similar context
- Documented results related to the position’s responsibilities
- Familiar Uganda labour and immigration laws
