PSI seeks an Assistant to provide administrative support to the Regional Director (RD) for West and Central Africa (WCA). The Assistant will have wide ranging responsibilities and will work with PSI staff both in Washington and West and Central Africa. The position requires flexibility and willingness to assume varied duties and projects. This position reports to the RD and is based in Washington, D.C.
RESPONSIBILITIES:The Assistant is responsible for providing administrative support to the RD ensuring smooth and timely flow of work. Duties include but are not limited to:
- Managing the RD calendar;
- Scheduling and preparing for and attend meetings and take minutes as requested;
- Organizing departmental meetings, WCA regional meetings and workshops;
- Organizing WCA board meetings;
- Ordering documents and informational materials;
- Creating and maintaining filing systems; managing heavy paper flow;
- Assisting with travel arrangements and expense report preparation;
- Responding to internal and external requests for information;
- Conducting Internet research;
- Assisting in the preparation of documents, including PowerPoint presentations, spreadsheets and correspondence;
- Proofreading and editing both in French and English;
- Word processing and Photocopying; and;
- Other duties and special projects as assigned.
QUALIFICATIONS:
- At least five years experience working in a fast paced office environment;
- BA/BS preferred or equivalent years of experience;
- French Proficiency required
- Strong typing and writing skills;
- Research experience;
- Advanced computer skills (MS Office applications, including Word, Excel and PowerPoint);
- Excellent organizational and administrative skills with special attention to detail;
- Proven ability to develop routines to manage large workloads and organize work efficiently;
- Readiness to interact with a variety of people and assume diverse duties and tasks; and
- Demonstrated willingness and ability to work alone and on a team.
Successful candidates will exhibit excellent communication, analytical and interpersonal skills; problem solving ability; commitment to deadlines; ability to work efficiently and quickly under pressure; ability to prioritize and perform multiple tasks; and the ability to work with minimal supervision and follow through on assignments.
Preference will be given to candidates with knowledge of a foreign language and an interest in international health and development issues.
